Keys, Fobs, And Passes: What The Building Wants Back

Why this one catches people

Cleaning gets planned. This does not, because most of these items were handed over on day one and have not been thought about since. A garage remote in a car that was sold, a spare key given to a friend two years ago, a gym fob in a coat pocket.

The charges are also not proportionate to the object. A metal key is a few dollars to cut. An electronic fob or a garage remote is usually a lot more, because it has to be deactivated and reissued, and in some buildings a lost fob means rekeying more than one door.

The full list to ask about

• Apartment door keys, including every copy ever cut, not just the two you were given.
• Building entry fobs, key cards, or code tags.
• Mailbox key, which is the most commonly forgotten item of all.
• Garage or gate remote, parking pass, and any windscreen sticker.
• Amenity access cards for gym, pool, roof, or coworking space.
• Storage locker key or padlock, if the locker came with the unit.
• Laundry card or fob, if the building uses one.
• Any remote controls that came with the apartment: air conditioning, ceiling fan, blinds.
• Appliance manuals and the spare parts drawer, if the unit came with them.

Two weeks out, not the last morning

Email and ask for the list of items issued to your unit. Most buildings have a record, and it will contain something you had forgotten. That is the whole value of asking early.

Then hunt for the ones you do not currently have in hand: copies given to family, the fob in a gym bag, the mailbox key that has been in a drawer since the day you moved in. A key that needs recovering from someone else is a several-day problem, not a five-minute one.

Handing it over so it is on record

• Count the items in front of whoever receives them, out loud.
• Get a written receipt, or send an email the same day listing exactly what was handed over and to whom.
• Photograph the set laid out before you hand it back, with the date.
• If you drop keys in a lockbox or through a slot, photograph them going in and email immediately to say so.
• Do not leave keys inside the apartment unless the instructions explicitly ask for that.

The written confirmation matters because key charges appear on final statements weeks later, and by then the only thing that settles it is a record made on the day.

If something is genuinely lost

Say so in advance rather than staying quiet and hoping it goes unnoticed. Some buildings charge a flat replacement fee that is much smaller than the rekeying cost they charge when a key is unaccounted for, and a few will waive an amenity card entirely.

It also gives you the option to solve it yourself where that is allowed. A mailbox key can sometimes be replaced through the post office rather than the building, and a metal key can be cut from a spare if you still have one.

Where it fits in the last week

Put this on the same list as the cleaning rather than treating it as separate, because it competes for the same final days and it has a dependency that cleaning does not: other people. The one item that ruins a handover is a copy sitting in someone else's kitchen drawer across town.
