It works, and it works on preparation rather than on trust, because the person standing in your apartment cannot answer questions about it.
Tell the building before you go, not after
Email the property manager naming the person who will be in the apartment and handing over the keys, what they are authorised to do, and how to reach you directly. Ask them to confirm.
Without that, a building can reasonably refuse to discuss anything with the person standing in front of them, and a stranger with your keys is exactly the situation their procedures exist to prevent. Two lines of email removes the whole problem.
Give a list, not an instruction
Whoever is helping does not know your apartment. Asking them to make sure it looks fine puts them in an impossible position and produces a handover nobody can verify.
Write the actual list: which rooms, which appliances, what to photograph, what to check before locking up, where the keys go and to whom. A friend with a checklist does this well. A friend with goodwill and no list does what they think you meant.
Documenting it without being in the room
- A video call while they walk the apartment, slowly, room by room, is the closest thing to being there.
- Photographs of every room empty, plus inside the oven and fridge, the bathroom, and the floors, sent to you the same day.
- A photograph of the keys laid out before handover, and of them being handed over or dropped.

The walkthrough you cannot attend
Ask whether the inspection can be done while you are on a video call, and ask in writing. Plenty of managers will agree, and it costs nothing to ask.
If not, ask for the completed form and any intended charges to be sent to you rather than discussed with whoever is holding the keys. Nobody should be agreeing to anything on your behalf about money, and saying so up front spares your friend an awkward conversation.
This is the case where hiring the clean is obvious
Everything about a remote move-out favours paying for the cleaning rather than delegating it. A crew arrives with equipment, works to a defined scope, does it in one visit, and produces a receipt.
The alternative is a friend doing an unfamiliar apartment to an unclear standard on a weekend, which is a large favour to ask and a weak position to be in if the building disagrees with the result.
Book it for after the apartment is empty and ask for the receipt and photos to be sent to you directly. That is inside the normal scope of move-out apartment cleaning, and the checklist is the document to point at when arranging it from a distance.
The last details people forget remotely
- The forwarding address, updated with the building and with the post, since the deposit statement goes there.
- Utility accounts closed with a final reading, dated after the cleaning rather than before.
- Storage locker, bike room, mailbox, and anything else on the lease emptied too.
- Every key, fob, and pass accounted for, including any copies held by other people.
- A written confirmation from the building that the handover is complete.
