The Move-Out Walkthrough: What Happens And What To Say

Fifteen minutes that decide a lot of money, and most people go into them having thought about the cleaning and not about the meeting.

What actually happens

Someone walks the apartment with a form, usually room by room, opening the oven and the fridge, looking at floors, walls, and the bathroom, and checking that the unit is empty. It takes ten to twenty minutes in a one-bedroom.

The person doing it is usually a property manager or a maintenance lead working from a checklist rather than deciding your deposit personally. That matters for how you talk to them: they are recording, not judging, and an argument with them rarely changes the record.

Be there if you possibly can

Attending changes the outcome more than any single cleaning task. You can explain what was pre-existing, point out what you did, and hear the concerns while they are still informal.

It also means anything they note gets said to your face rather than appearing in an itemised statement three weeks later, when the apartment has been re-let and nothing can be verified. If the schedule genuinely does not allow it, that is a different situation and worth arranging deliberately rather than by default.

What to bring

  • Your move-in photos, on your phone, ready to open.
  • The move-out photos taken today, in the same place.
  • The lease, or at least the cleaning and carpet clauses.
  • Any receipt the lease required, for cleaning or carpet.
  • Every key, fob, remote, and pass, counted out.
  • A short written list of the items you already know are pre-existing, which saves the conversation happening item by item.

How to handle a disagreement in the room

If they flag something you believe was there when you arrived, say so once, show the move-in photo, and ask them to note both the item and your comment on the form. That is the whole move. Repeating it does not help, and refusing to sign rarely does either.

Do not agree to a number on the spot. Charges are calculated afterwards against actual costs, and a figure said in a hallway is not binding on anyone. What you want instead is the item recorded with your objection attached, because that is what a later conversation refers back to.

What to ask for before you leave

  • A copy of the completed form, photographed on your phone if no copy is offered.
  • The list of anything they intend to charge for, in writing.
  • The date the deposit statement will be sent and the address it goes to.
  • Confirmation that keys were received, counted out loud in front of them.
  • The forwarding address on record, checked and corrected there and then.

The forwarding address is the boring one that causes the most trouble. A statement sent to the apartment you just left is a statement you never see, and deadlines to respond usually run from when it was sent.

If there is no walkthrough offered

Some buildings do not offer one, or do it after you have gone. Ask for one anyway, in writing, and ask to attend. If the answer is no, your photographs and the dated handover of keys carry the whole weight, which is a reason to be thorough about both.

Rules on inspections, deposits, and timelines vary by location and by lease. Read yours and check the rules where you live rather than assuming what applies.
